Bookkeeper and Administrative Assistant

JOB SUMMARY:         

This position is an integral part of WMNF 88.5 FM Community Radio, Tampa, FL finance team and is responsible for the accuracy of the reporting and expense process of the organization. It ensures organizational compliance with general accounting controls, generally accepted accounting principles and auditing standards. This position requires strong ethical behavior in all business practices. Listed below are the primary responsibilities of the job. Other responsibilities may be assigned as needed.

Required Responsibilities:

  • Prepare and post daily cash, credit card and web deposits into the accounting system
  • Perform monthly bank reconciliations for all bank accounts
  • Reconcile monthly credit card statements
  • Invoice and maintain accounts receivable files and aging report
  • Process accounts payable on a weekly basis, maintain files and handle all vendor inquires
  • Enter financial data into accounting software according to established procedures
  • Process payroll, make tax deposits and pay other benefit payments
  • Work with Membership Coordinator monthly to reconcile all donations received
  • Work with Special Events Coordinator and/or Program Director to reconcile all revenue and expenses related to concerts and other program-related events

Other Responsibilities:

  • Maintain files for Special Events according to established procedures
  • Maintain tax files, contracts, riders and copies of certificate of liability for all performers contracted for special events
  • Maintain files for all WMNF contracts and agreements
  • Prepare quarterly reports as assigned and yearly 1099s and W2s
  • Assist with grants and compliance as assigned
  • Assist in annual budget preparation and presentation
  • Assist with annual financial audit
  • Research and provide financial data as requested
  • Assist with HR projects as assigned
  • Prepare monthly financial statements, account analysis, cash flow reports and special events reports in a timely manner
  • Prepare monthly financial reports package for Finance Committee meetings
  • Participates in on-air fundraising drives and other station-sponsored events as required

Required Skills:

Familiar with GAAP (Generally Accepted Accounting Principles) and double-entry bookkeeping

Detail orientated with strong task and time management; organized with good project management and planning abilities with sound judgment to meet multiple deadlines

Excellent communication skills—both oral and written. Prefer someone with experience or potentially building and maintaining relationships with all levels internal and external to include staff, board, volunteers, vendors, customers, community partners and community at large.

Strong initiative and ability to work independently and with a team

Ability to work with volunteers and community partners

Affinity for WMNF vision, mission and content

Impeccable work ethic, good quality of work product, excellent attendance and punctuality, integrity; confidentiality and honesty a must

Must be able to work 15 to 24 hours per week.


Required Qualifications:

Proficient in QuickBooks, Excel, and Word and familiar with PowerPoint

Demonstrated experience working with high-performance teams

Excellent analytical and organizational skills required

Reliable transportation and valid driver’s license


Desired Qualifications:

Bachelor degree in Accounting or Associates degree in Accounting with two years of accounting experience

Four years of accounting, budgeting, and financial reporting experience may be substituted for a degree

Two years of experience in accounting in a not-for-profit organization preferred
